B-BBEE certificate expiry: track it to the day

Many of your clients need a valid Broad-Based Black Economic Empowerment (B-BBEE) certificate or sworn affidavit to tender, to stay on a customer’s supplier list or to complete supplier onboarding. Unlike a tax return, there is no annual “season” for B-BBEE – each certificate expires on its own date. Losing track of one can cost a client a tender or a payment run. This guide explains how expiry works and how to stay ahead of it across a whole client list.

The rule: 12 months from the issue date

A B-BBEE certificate, and a sworn affidavit for qualifying small enterprises, is valid for 12 months from the date it was issued. There is no grace period: on the expiry date the document stops being valid, and the client needs a new one to show a current B-BBEE status level.

A certificate issued on 15 March 2026 expires on 15 March 2027. A certificate issued on 30 September 2025 expired on 30 September 2026 – if that client has not renewed, they currently have no valid certificate.

Why start the renewal early

  • Verification takes time. For entities that need a verification agency, the process involves gathering financial statements, ownership records, payroll and procurement information, then an assessment and review. Several weeks is common.
  • Financial information must be ready. Verification is usually based on the latest financial year, so annual financial statements or management accounts need to be available first.
  • Tenders and onboarding have no flexibility. Procurement processes and supplier onboarding often require a valid certificate on the closing date. An expired one can disqualify a bid.
  • Affidavits need preparation too. A sworn affidavit must be completed correctly and signed before a commissioner of oaths, which still takes planning.

Starting six weeks before expiry gives most clients enough room. If a client relies heavily on tenders, consider starting even earlier.

Common pitfalls

  • Recording the expiry year but not the exact day, so the renewal is planned for the wrong week.
  • Keeping certificate dates in email threads or on a shared drive where nobody is reminded.
  • Assuming the client will remember – most only notice when a customer asks for a current certificate.
